Responsibilities and duties

In particular WWF MedPO Project Administrator will:
• Support administration of WWF MedPO regional projects
• Work with WWF MedPO Finance & Accounting (F&A) Unit, to set up office procedures and to develop standard templates for the different contractual agreements (i.e., secondment of personnel, project activity management, office and logistics management).
• Acquire good understanding of WWF standards and procedures in order to ensure that management and administration is performed in compliance with WWF standards and procedures
• Prepare contracts for staff involved in WWF projects ensuring that they are in line with WWF International HR Policies, WWF MedPO administrative requirements, and compliant with the Croatian legislation (or other countries in the Western Balkans region where the position is hired).
• Liaise with WWF MedPO F&A Unit for the preparation of contracts and perform other administrative tasks related to the logistic support for projects managed by WWF, including office, office equipment, other office supplies
• Liaise with accountant for calling funds from WWF MedPO and payment procedures
• Support project budget development, monitoring and reporting of expenditures
• Assist WWF MedPO in cost analysis for human resources and operations in the area covered by the Western Balkans
• Assist WWF MedPO in identifying administrative solutions for activities to be implemented in the Western Balkans region
• Prepares financial reports as required by contracts with WWF MedPO and ensures that financial reporting follows donors requirements
• Assist in auditing procedures required by WWF MedPO and project donors
• Organize and maintain archives, and keep track of documents exchanged between Rome and Zagreb

Required skills and competencies
• High school degree (administration, economy, or similar), university degree is an advantage
• Additional formal or informal trainings are advantage
• Proven experience with bookkeeping practices according to national regulations, an accountant degree is a plus
• Excellent computer skills ‐ good knowledge of Excel is obligatory, and this will be tested (Word, Power Point, MS Project, Outlook, Internet, other software is an advantage)
• Good knowledge of national legislation regarding finances, accounting, taxation, and similar
• Minimum 4 years of active office management/administration experience (experience with EU‐funded project/ EU co‐financed projects is advantage)
• Fluency in English
• Proven track record of professional results in a similar business setting (minimum of two reference letters with contact details are mandatory)

Location and supervision
The administrator will be based in the WWF MedPO field office in Zagreb.
The administrator will work under the supervision of WWF MedPO Field Office in Zagreb and in close relation with WWF MedPO Finance and Administration unit.
The administrator may be required to undertake training at WWF MedPO in Rome.

Position and salary range
Position is planned as full‐time, and salary range depends on qualifications and experience (start from 6.000 HRK)
